Beta testing guidelines

PLEASE NOTE: the beta testing period is now over, but you are still welcome to use this community forum to provide feedback or make feature requests.

We’re delighted to welcome you to the Leo beta testing program. We’re truly grateful for your participation and eager to see how Leo can support your research goals in the weeks ahead.

To prepare to make the most of the program, please review this topic carefully, as it contains important information about expectations. If you have any questions or need clarification after reading through, please don’t hesitate to reach out to me.

Every beta tester will be assigned to a round:

  • Round one: 10 March - 12 April 2025
  • Round two: 14 April - 17 May 2025
  • Round three: 19 May - 21 June 2025
  • Round four: 23 June - 26 July 2025
  • Round five: 28 July - 30 August 2025
  • Round six: 1 September - 4 October 2025
  • Round seven: 6 October - 8 November 2025

From the outset of this period, you will receive six months of standard membership and credits to transcribe 1000 images. During the month of beta testing, we ask that you use at least 400 of those credits to transcribe images. Those who fulfil this condition by the end of the month will receive between 1000 and 5000 additional credits, with the exact figure depending on the quality and usefulness of the feedback provided. This will be assessed on a scale of one to five, taken as an average of the score for each of seven categories:

  1. User experience and interface: How easy did you find the interface to use for uploading, organizing, and editing documents? Are there any features or steps that feel clunky, unintuitive, or that you found hard to locate or use?
  2. Performance and output quality: Did you notice any issues with the accuracy of transcriptions across different languages, handwriting styles, or layouts (e.g., tables, marginalia, footnotes)? How well does the platform handle varying levels of document quality (e.g., faded ink, damaged pages, low-resolution images)?
  3. Search and organization functionality: Did you find the list organization structure intuitive? How useful did you find the search capabilities? Were there ways that you wanted to search or organize your documents, but couldn’t?
  4. Future feature suggestions: Are there any additional tools, integrations, or features that you would have liked, or that might be helpful in the future?
  5. Reliability and technical issues: Did you encounter any technical issues or bugs? If so, please describe how to reproduce the error(s) and provide screenshots where necessary. Did you notice compatibility issues with existing hardware, software, or workflows?
  6. Pricing and value: How do you feel about the pricing structure? Does the offered value align with your perception of the service quality?
  7. Overall feedback: Please summarize your feedback. If applicable, how does Leo compare to other transcription and document management tools that you have used? What are its comparative strengths and weaknesses?

During the beta testing period, we ask that you use this message board, where you will find categories that correspond to the first five of the previous points. In each of these, you can create topics to provide feedback, report issues, or request features. We encourage you to respond to and engage with other beta testers on this platform.

At the end of the program, we’ll send you a form to provide feedback on the final two points as well as anything else you wanted to mention.
